These Terms of Use govern your access to and use of HousingVoiceAI (“the Service”). By creating an account or using the Service, you agree to these Terms.

HousingVoiceAI is operated by Creative Bridge, 45 Booth Drive, Park Farm Industrial Estate, Wellingborough, Northamptonshire, NN8 6NL (“we”, “us”, “our”).

1. About the service

HousingVoiceAI provides automated, AI-generated feedback on written communications intended for social housing and related audiences.

The Service is designed to support content drafting, review and improvement by identifying potential issues relating to clarity, tone, readability and bias.

The Service provides guidance only and does not replace human judgement or professional advice.

2. AI-generated feedback and user responsibility

The Service uses artificial intelligence to generate recommendations and feedback.

AI-generated output:

  • is provided for guidance purposes only;
  • does not constitute legal, regulatory, compliance, editorial, professional or other advice;
  • may contain inaccuracies, omissions, outdated information or unintended bias;
  • may not identify every issue within submitted content; and
  • may not fully reflect your organisation’s specific policies, tone of voice, regulatory requirements or editorial standards.

You remain solely responsible for:

  • reviewing and approving all content before publication;
  • verifying the accuracy of any information;
  • ensuring compliance with all applicable laws, regulations and organisational policies; and
  • any decisions made or actions taken based on the Service’s output.

Where appropriate, you should seek advice from suitably qualified legal, compliance or professional advisers.

3. Acceptable use

You must only submit content that:

  • you own or have permission to use;
  • you are legally entitled to share with us for processing; and
  • complies with applicable laws and regulations.

You must not:

  • submit special-category personal data unless you have appropriate authority and a lawful basis for doing so;
  • submit content that is unlawful, defamatory, discriminatory, threatening, abusive or harmful;
  • knowingly submit confidential information that you are not authorised to disclose;
  • use the Service to create or distribute misleading, fraudulent or unlawful material;
  • attempt to reverse engineer, copy, scrape, disrupt or interfere with the Service;
  • attempt to gain unauthorised access to any account, system or data; or
  • use the Service in a manner that breaches your employer’s or organisation’s policies.

We may suspend or terminate access where we reasonably believe these Terms have been breached.

4. Accounts

You must be at least 18 years old to create an account.

You are responsible for:

  • maintaining the confidentiality of your login credentials;
  • all activity conducted under your account; and
  • ensuring that your account information remains accurate and up to date.

You must notify us promptly if you believe your account has been compromised.

We reserve the right to suspend or terminate accounts that breach these Terms or are used in a way that may harm the Service or other users.

5. Check history and data retention

For registered users, we retain a limited check history consisting of:

  • the date of a check;
  • the selected content category; and
  • the overall rating or assessment score.

We do not retain the original submitted text or the full AI-generated feedback for longer than 24 hours after processing.

Users are responsible for downloading, exporting or saving any reports, feedback or recommendations they wish to keep.

You may delete your account at any time through your account settings. Account deletion will permanently remove your user profile and retained check-history metadata.

6. Privacy and data protection

Our handling of personal data is explained in our Privacy Policy.

You are responsible for ensuring that any information submitted to the Service is processed lawfully and in accordance with your organisation’s data protection obligations.

Where personal data is submitted, you confirm that you have the necessary authority, permissions and lawful basis to do so.

7. Marketing communications

We will send marketing communications only where you have agreed to receive them or where otherwise permitted by law.

You may withdraw your consent at any time through your account settings or by using the unsubscribe link included in marketing emails.

8. Intellectual property

You retain ownership of all content you submit to the Service.

By submitting content, you grant us a limited, non-exclusive licence to process that content solely for the purpose of providing the Service.

All rights, title and interest in HousingVoiceAI, including its software, branding, designs, reports, methodology and underlying technology, remain the property of Creative Bridge.

Nothing in these Terms transfers ownership of our intellectual property to you.

9. Availability of the service

We aim to provide a reliable and secure service but do not guarantee uninterrupted or error-free operation.

The Service is provided on an “as available” basis.

We may:

  • update, improve or modify features;
  • carry out maintenance;
  • suspend access temporarily; or
  • discontinue features or the Service, where reasonably necessary to operate, improve or protect the platform.

10. Disclaimer and no warranty

To the fullest extent permitted by law, the Service and all output generated by the Service are provided “as is” and “as available”.

We make no warranties, representations or guarantees regarding:

  • accuracy;
  • completeness;
  • reliability;
  • availability;
  • suitability for any particular purpose; or
  • compliance with any legal or regulatory requirement.

Use of the Service and reliance on any output is entirely at your own risk.

11. Limitation of liability

To the fullest extent permitted by law, we shall not be liable for any indirect, incidental, consequential or special loss arising from or relating to the use of the Service.

This includes, but is not limited to:

  • loss of profits;
  • loss of revenue;
  • loss of contracts;
  • loss of business opportunities;
  • loss of goodwill;
  • reputational damage; or
  • loss of data.

Our total liability arising from or relating to your use of the Service shall not exceed the amount paid by you for the Service during the 12 months immediately preceding the event giving rise to the claim.

Nothing in these Terms excludes or limits liability for:

  • fraud or fraudulent misrepresentation; or
  • any liability that cannot lawfully be excluded or limited.

12. Termination

You may stop using the Service and delete your account at any time.

We may suspend or terminate your access immediately where:

  • you breach these Terms;
  • we reasonably believe your use presents a legal, security or operational risk; or
  • we are required to do so by law.

13. Changes to these terms

We may update these Terms from time to time. Where changes are material, we will provide reasonable notice by email or through the Service.

Continued use of the Service after any update takes effect constitutes acceptance of the revised Terms.

14. Governing law

These Terms are governed by the laws of England and Wales. Any dispute arising from or relating to these Terms or the Service shall be subject to the exclusive jurisdiction of the courts of England and Wales.
